Distribution and export · India

Distribution and export software for India. Every channel. Every company. Every country. One system.

For Indian companies that sell through distributors, their own stores, a website, and to buyers abroad. For groups with several companies, and with a company or a godown outside India. One stock and one customer list. One set of books per company, and the group figures on top.

Book a demo The export side

Every channel

Multi-channel distribution on one stock: distributors, your stores, the website, export.

The same product sells through four channels at four prices. In many companies each channel has its own file, and stock is counted four times. In Onfinity it is one stock. Each channel is a customer type with its own price and its own terms.

Distributors and wholesalers
Each distributor is a customer with a price list, a credit limit and payment terms. Orders, invoices, returns and collection are on the same books as everything else.
Your own stores
The counter bills from the same stock and the same customer list. The POS is part of the system: POS for apparel, ethnic wear and footwear stores.
The website and marketplaces
Web orders come in as sales orders and take stock from the same pool. E-commerce integration is part of Nova.
Export buyers
A buyer abroad has a price list in dollars or euros. Incoterms are on the record. A letter of credit, when there is one. The export side is below.

Trade pricing

Software for distributors starts with the price: per customer, per quantity, per date, per currency.

A price list per customer
Each customer carries its own price list. A retailer, a sub-distributor and a buyer abroad each see their own price for the same item.
Quantity discounts
At or above this quantity, this discount. The rule is set once, for one product, one category or everything. It applies itself on the order line.
Price changes with a date
A new price list version starts on its date. Next month's prices are loaded now and start by themselves.
A price list per currency
A price list in dollars for the export buyers. The invoice is in their currency. The books are in rupees.

Several companies, several countries

Multi-company ERP: each company with its own books, the group on one report.

An Indian factory, a trading company, and a company in Dubai or Europe. Three companies in Onfinity, one login, one system.

Each company is its own
Its own GSTIN or tax number, its own address, its own financial year and its own books. April to March in India. January to December abroad.
Books in another currency
The Indian company posts in rupees. The company abroad posts in its own currency. A second set of books can run in parallel, in one currency for the whole group.
Sales between your own companies
A customer can be linked to one of your own companies. A sale from the factory to the trading company creates the purchase on the other side by itself.
Group figures
Elimination rules take the sales between your own companies out of the group figures. An elimination journal books them. The rest is on group consolidation.
A godown abroad
A warehouse belongs to a company, and the company has a country. Stock in a godown in Dubai is stock, seen from India, live.

Export

Export software for the invoice, the letter of credit and the currency.

The export invoice under GST
An invoice is marked as export with IGST paid, or export without payment under LUT. Supply to an SEZ and deemed export are types too. The e-Invoice with its IRN carries the type.
Incoterms on the document
FOB, CIF, or the term you sell on. It is on the customer, the order, the invoice and the shipment. It is not retyped.
The packing list
What is picked is packed into packages. Each package carries its contents. The packing list matches the container.
Letters of credit
An LC is a document. The issuing bank and the advising bank. The amount and its tolerance. The expiry date and the last date of shipment. The orders and shipments under it are linked. Realisation is recorded against it.
Currency
Invoices in the buyer's currency. Exchange rates by date and by type. The gain or loss on the day the money comes in is posted by itself. Bank accounts in foreign currency.
Imported inputs
Freight, insurance, duty and clearing land on the item, not on the month. Six ways to spread them. The margin on the export line is the real margin.
Merchant exporters
A drop shipment goes from the supplier's factory to the port. It never touches your godown, and the system does not pretend it did.

Stock in every godown

Wholesale stock: every godown, every batch, a minimum and a maximum.

Godowns and racks
Every godown is a warehouse, every rack a bin. Stock is known by godown, by rack and by batch, live.
Batch and expiry
A batch carries its expiry date. The oldest goes first. Stock with too few days left is not picked by the system. A person has to choose it.
Minimum and maximum
Each product has its own level in each godown. Below the minimum, a purchase is suggested up to the maximum. A branch can refill from another godown before anyone buys.
Picking, packing, dispatch
Orders are released in waves. What is picked is packed into packages. The e-Way bill is generated from the dispatch document. When a lorry does not leave, it is cancelled from the same document.
Transfers confirmed on both sides
The sending godown confirms what left. The receiving godown confirms what arrived. A difference shows the same day.

Credit and collection

A credit limit per customer. Cheques by date. Reminders before the money is old.

Credit limit and status
Each customer has a credit limit. Above 90% of it, the status turns to credit watch. Above the limit it is credit hold, and the order waits.
Post-dated cheques
A cheque is recorded with its date, its amount and the invoices it is for. On the date it is presented, and the payment is made from it.
Payment terms and reminders
Days, or a fixed date, per customer. Reminder levels: how many days after the due date, and how many days between reminders. One run sends them.
Ageing
Receivables by customer, by currency, by days overdue. Who owes what, and since when.
TCS and TDS
TCS on the sale where it applies. TDS deducted by a customer is recorded against the payment.

Who it is for

Exporters of garments, engineering goods, food, home textiles; importers; groups with a company abroad.

Garment and textile exporters
Styles in every size and colour. Job work sent out. The LC from the buyer. The packing list per container. The factory side: textile and apparel ERP.
Engineering goods and auto components
Made to order against the export order. Part numbers and drawings on the product. Inspection before the container closes.
Spices, food and agri products
Batch and expiry on every lot. The oldest goes first. Quality checks with a measured value against a tolerance.
Handicrafts and home furnishings
Hundreds of small suppliers, one export order. Purchase orders per supplier, drop shipments to the port, the LC realised at the end.
Importers and multi-brand distributors
Landed cost on every container. A price per customer and per quantity. Several godowns, one stock.
Groups with a company abroad
The Indian company and the company in Dubai, Singapore or Europe on one system. Sales between them created on both sides. The group figures on one report.

What it costs

Per user, for the office and the godown. Nova for several companies.

₹1,999 per user per month on Onfinity SME Cloud, for one company. Several companies, a company abroad, e-commerce, letters of credit and group figures: that is Nova, by quotation.

Every edition, and what is not in the licence: the pricing page. Stock and the godown: inventory management. The order desk: order management. What a wholesaler should ask before buying: ERP for wholesalers and distributors.

Questions

Asked by exporters and distributors, answered here.

Can the company in Dubai be on the same system?
Yes. It is a company in Onfinity, with its own books, currency and financial year. The Indian company and the Dubai company share one login and one report.
Does it make the export invoice under LUT?
Yes. The invoice is marked export without payment, and the e-Invoice carries the type. Export with IGST paid, SEZ and deemed export are the other types.
Does it track the letter of credit?
Yes. The LC is a document. It holds the banks, the amount, the tolerance, the expiry and the last shipment date. The orders and shipments under it are linked. Realisation is recorded against it.
Can each customer have a different price?
Yes. A price list per customer, in the customer's currency. Quantity discounts on top. A flat discount if you give one.
Does it make the e-Way bill?
Yes. Generated from the dispatch document and cancelled from it. The number is on the document.
Is there a free edition?
Pluto is free and open source. It has the stock, the orders and the accounts. GST, the e-Way bill and several companies with their own books start at the paid editions.
Moving from Tally or Busy: what comes across?
The parties with GSTIN and PAN come across as masters. So do the items with HSN codes, and the opening balances. The old vouchers stay for reading. The steps: from Tally Prime to an ERP.
