The employee record

The statutory numbers on the record, not in a spreadsheet.

UAN, ESI number, PAN: The EPF UAN, the ESI number and the PAN are fields on the employee record. Payroll reads them from there. Nobody types them twice.
Contract and grade: Date of joining, contract type, grade, department, reporting manager. A change of grade is a new line with a date, so the history stays.
Bank details: The account the salary goes to, on the record, with the change logged.

Documents

Every paper attached to the record it belongs to.

Attached, not filed: Appointment letter, contract, ID proof, certificates, warning letters, exit papers: attached to the employee record in the document management system. Search by name, open in one click.
Who may see what: HR sees the file. A manager sees the team. An employee sees their own documents and payslips. Roles decide, and the access log records who opened what.
Every change logged: A changed salary, a changed bank account, a changed grade. The change log keeps the old value, the new value, the user and the time.

From joining to exit

Onboarding checklists, appraisals, training, and the exit.

Onboarding checklist: A checklist of tasks for each new joiner: documents to collect, accounts to open, inductions to attend. Each task has its dates and a status.
Appraisals and training: Appraisal records with the date, the increment and the remarks. Training records with the course, the dates, the trainer and the cost. Both on the same employee record.
Leave and attendance: Leave types, balances, applications and approvals. Attendance from the biometric device. Both feed payroll without a file being exported.
Exit: Full and final settlement from the same record: leave encashment, recoveries, the last payslip.

Payroll

The file feeds the payslip. ₹70 per employee per month.

Because the statutory numbers, the attendance and the leave are on the record, the payslip is computed from them. EPF, ESI, professional tax and TDS come out of the same run.
