Adding a new document attribute will help you extend the document with additional meta data and tailor the DMS system to your specific business needs.<\/p>\n<blockquote>\n<p style=\"text-align: justify;\"><strong><em>SUGGESTION!<\/em><\/strong><\/p>\n<p style=\"text-align: justify;\"><em>This is the 8th article of a series of articles related to our Document Management System. You can check the previous articles about VIENNA Advantage Document Management Solution in this list: <\/em><a href=\"http:\/\/viennaadvantage.com\/blog\/category\/document-management-tips\/\" target=\"_blank\" rel=\"noopener\"><em>Document Management Tips<\/em><\/a><\/p>\n<\/blockquote>\n<h2 style=\"text-align: left;\"><span style=\"color: #0084c4;\"><strong>Creating general document attribute in VIENNA Advantage DMS<\/strong><\/span><\/h2>\n<p style=\"text-align: justify;\">Each document has predefined document attributes \/ fields such as: Document name, Keywords, Description, Document Category, etc. But there are certain situations when <strong>your organization requires some additional document attributes for each document<\/strong>. This additional fields are available if you create certain document attribute sets and map this sets with attribute set instances.<\/p>\n<p style=\"text-align: justify;\">Before you start creating attribute sets, you should learn how to create document attributes in <strong>VIENNA Advantage DMS system.<\/strong> Follow this steps:<\/p>\n<p style=\"text-align: justify;\">[1] Navigate to the Application menu placed on the <a href=\"http:\/\/viennaadvantage.com\/blog\/document-management-tips\/home-screen-vienna-advantage-document-management-solution\/\">DMS home screen<\/a><\/p>\n<p style=\"text-align: justify;\">[2] Search for the \u201cGeneral Attribute\u201d button and click on it<\/p>\n<p style=\"text-align: justify;\">[3] A new window will open as shown on the picture below. The new window contains 2 tabs: General Attribute and General Attribute Value. The first window is used to create the document attribute, and the second one to appoint attribute values to new or existing document attribute.<\/p>\n<p style=\"text-align: justify;\"><img loading=\"lazy\" decoding=\"async\" class=\"aligncenter size-full wp-image-817\" src=\"http:\/\/viennaadvantage.com\/blog\/wp-content\/uploads\/Create-document-attribute-VIENNA-Advantage-DMS-Software.gif\" alt=\"Create-document-attribute-VIENNA-Advantage-DMS-Software\" width=\"853\" height=\"480\" \/><\/p>\n<h4 style=\"text-align: justify;\"><strong>General Attribute<\/strong><\/h4>\n<p style=\"text-align: justify;\">To create the document attribute fill in the required fields in the \u201cGeneral Attribute\u201d window:<\/p>\n<ul style=\"text-align: justify;\">\n<li><strong>Tenant<\/strong> &#8211; choose the tenant in which you wish this document attribute to be applied<\/li>\n<li><strong>Organization<\/strong> &#8211; choose the organization<\/li>\n<li><strong>Name<\/strong> \u2013 in this field enter the name of the document attribute <em>(For example: Status)<\/em><\/li>\n<li><strong>Description<\/strong> &#8211; in this field enter short description about the document attribute<\/li>\n<li><strong>Attribute Value Type <\/strong>\u2013 Choose from the drop-down menu whether you wish to create a list, number or string. <em>(For example: List)<\/em><\/li>\n<\/ul>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"aligncenter size-full wp-image-819\" src=\"http:\/\/viennaadvantage.com\/blog\/wp-content\/uploads\/General-document-attribute-VIENNA-Advantage-DMS-Software.png\" alt=\"General-document-attribute-VIENNA-Advantage-DMS-Software\" width=\"853\" height=\"480\" srcset=\"https:\/\/onfinity.io\/blog\/wp-content\/uploads\/General-document-attribute-VIENNA-Advantage-DMS-Software.png 853w, https:\/\/onfinity.io\/blog\/wp-content\/uploads\/General-document-attribute-VIENNA-Advantage-DMS-Software-300x169.png 300w\" sizes=\"(max-width: 853px) 100vw, 853px\" \/><\/p>\n<h4 style=\"text-align: justify;\"><strong>General Attribute Value<\/strong><\/h4>\n<p style=\"text-align: justify;\">After you choose the <strong>attribute value type<\/strong> <em>(Example: List) <\/em>navigate to the second window \u201cGeneral Attribute Value\u201d to set up some values <em>(that will be available to choose in that List)<\/em>.<\/p>\n<p style=\"text-align: justify;\">Before adding list options check whether you have chosen the correct document attribute under \u201cC_GenAttribute_ID*\u201d. In our example we are creating a list for the \u201cStatus\u201d document attribute.<\/p>\n<p style=\"text-align: justify;\">To create a list you should add 2 or more options. List options are added in the \u201cName\u201d field.<\/p>\n<p style=\"text-align: justify;\">[1] Type the name of the list option <em>(Example: New, In Progress, Approved, Closed)<\/em><\/p>\n<p style=\"text-align: justify;\">[2] Click on the \u201cSave\u201d button<\/p>\n<p style=\"text-align: justify;\">[3] To add another list option (attribute value) click on the \u201cAdd (+)\u201d button and repeat steps [1] &amp; [2]. See picture below. After you are done adding the last attribute value don\u2019t forget to click on the \u201cSave\u201d button.<\/p>\n<p style=\"text-align: justify;\"><img loading=\"lazy\" decoding=\"async\" class=\"aligncenter size-full wp-image-821\" src=\"http:\/\/viennaadvantage.com\/blog\/wp-content\/uploads\/General-document-attribute-value-VIENNA-Advantage-DMS-Software.gif\" alt=\"General-document-attribute-value-VIENNA-Advantage-DMS-Software\" width=\"853\" height=\"480\" \/><\/p>\n<p style=\"text-align: justify;\">Now you have created a document attributed called Status, with 4 attribute values (New, In Progress, Approved, Closed) that can be selected from a drop-down list.<\/p>\n<p style=\"text-align: justify;\">To <strong>add another document attribute<\/strong> click on the (+) icon in the top menu and repeat the above explained process.<\/p>\n<p style=\"text-align: justify;\"><a href=\"http:\/\/eepurl.com\/bfBeRT\" target=\"_blank\" rel=\"noopener\"><img loading=\"lazy\" decoding=\"async\" class=\"aligncenter wp-image-715 size-full\" src=\"http:\/\/viennaadvantage.com\/blog\/wp-content\/uploads\/DMS-Subscription-Baner.gif\" alt=\"DMS-Subscription-Banner\" width=\"751\" height=\"120\" \/><\/a><\/p>\n<h2><span style=\"color: #0084c4;\"><strong>Group document attributes into Document Attribute Set<\/strong><\/span><\/h2>\n<p style=\"text-align: justify;\">To create a document attribute set:<\/p>\n<p style=\"text-align: justify;\">[1] Navigate to the Application menu placed on the <a href=\"http:\/\/viennaadvantage.com\/blog\/document-management-tips\/home-screen-vienna-advantage-document-management-solution\/\" target=\"_blank\" rel=\"noopener\">DMS home screen<\/a><\/p>\n<p style=\"text-align: justify;\">[2] Search for the \u201cGeneral Attribute Set\u201d button and click on it<\/p>\n<p style=\"text-align: justify;\">[3] A new window will open as shown on the picture below. The new window contains 3 tabs: General Attribute Set, General Attribute Use and Exclude. The first window is used to create the document attribute set, the second one to appoint document attributes to a new or existing attribute set, and the third one to exclude some of the attributes.<\/p>\n<p style=\"text-align: justify;\"><img loading=\"lazy\" decoding=\"async\" class=\"aligncenter size-full wp-image-823\" src=\"http:\/\/viennaadvantage.com\/blog\/wp-content\/uploads\/Document-attribute-Set-VIENNA-Advantage-DMS-Software.gif\" alt=\"Document-attribute-Set-VIENNA-Advantage-DMS-Software\" width=\"853\" height=\"480\" \/><\/p>\n<h4><strong>General Attribute Set<\/strong><\/h4>\n<p style=\"text-align: justify;\">In this tab you can create the Document Attribute Set. fill in the required fields<\/p>\n<ul style=\"text-align: justify;\">\n<li><strong>Tenant<\/strong> &#8211; choose the tenant in which you wish this document attribute set to be applied<\/li>\n<li><strong>Organization<\/strong> &#8211; choose the organization<\/li>\n<li><strong>Name<\/strong> &#8211; in this field enter the name of the document attribute set <em>(For example: Claims)<\/em><\/li>\n<li><strong>Mandatory Type<\/strong> \u2013 choose one of the options from the drop-down menu (In our example: Not Mandatory)<\/li>\n<li>Continue to the General Attribute Use tab<\/li>\n<\/ul>\n<p style=\"text-align: justify;\"><img loading=\"lazy\" decoding=\"async\" class=\"aligncenter size-full wp-image-822\" src=\"http:\/\/viennaadvantage.com\/blog\/wp-content\/uploads\/General-document-attribute-set-VIENNA-Advantage-DMS-Software.png\" alt=\"General-document-attribute-set-VIENNA-Advantage-DMS-Software\" width=\"853\" height=\"480\" srcset=\"https:\/\/onfinity.io\/blog\/wp-content\/uploads\/General-document-attribute-set-VIENNA-Advantage-DMS-Software.png 853w, https:\/\/onfinity.io\/blog\/wp-content\/uploads\/General-document-attribute-set-VIENNA-Advantage-DMS-Software-300x169.png 300w\" sizes=\"(max-width: 853px) 100vw, 853px\" \/><\/p>\n<h4><strong>General Attribute Use<\/strong><\/h4>\n<p style=\"text-align: justify;\">In this tab you can appoint document attributes the Document Attribute Set. To do that follow this steps:<\/p>\n<p style=\"text-align: justify;\">[1] Click on the \u201cDocument Attribute Use\u201d tab<\/p>\n<p style=\"text-align: justify;\">[2] From the \u201cC_GenAttribute_ID*\u201d field choose one document attribute that you have already created<\/p>\n<p style=\"text-align: justify;\">[3] Click on the \u201cSave\u201d button<\/p>\n<p style=\"text-align: justify;\">[4] To add another document attribute click on the \u201cAdd (+)\u201d button and repeat steps [1] to [3]. After you are done adding the last document attribute don\u2019t forget to click on the \u201cSave\u201d button.<\/p>\n<p style=\"text-align: justify;\">[5] To see the all document attributes appointed to the Document Attribute Set click on the \u201cGrid\u201d button<\/p>\n<p style=\"text-align: justify;\">[6] A new window will open displaying the document attributes grouped under one document attribute set. See picture below.<\/p>\n<p style=\"text-align: justify;\"><img loading=\"lazy\" decoding=\"async\" class=\"aligncenter size-full wp-image-824\" src=\"http:\/\/viennaadvantage.com\/blog\/wp-content\/uploads\/General-document-attribute-Use-VIENNA-Advantage-DMS-Software.gif\" alt=\"General-document-attribute-Use-VIENNA-Advantage-DMS-Software\" width=\"853\" height=\"480\" \/><\/p>\n<h2><span style=\"color: #0084c4;\"><strong>How to use the document attribute set in a document?<\/strong><\/span><\/h2>\n<p style=\"text-align: justify;\">Let\u2019s imagine that we would like to extend the meta fields for a certain document. To do that follow this steps:<\/p>\n<p style=\"text-align: justify;\">[1] Select a document from the <a href=\"http:\/\/viennaadvantage.com\/blog\/document-management-tips\/introduction-to-document-management-module-vienna-advantage-dms\/\" target=\"_blank\" rel=\"noopener\">Document Section<\/a><\/p>\n<p style=\"text-align: justify;\">[2] Check out the document in order to be able to make a change in it<\/p>\n<p style=\"text-align: justify;\">[3] In the field \u201cAttribute Set\u201d appoint a document attribute set that you wish to attach to the selected document (from the drop-down menu)<\/p>\n<p style=\"text-align: justify;\">[4] In the filed \u201cAttribute Set Instance\u201d click on the icon.<\/p>\n<p style=\"text-align: justify;\">[5] A new window will open in which you should appoint the document attribute values (choose from the drop-down menus).
